These Terms & Conditions ("Terms") govern every registration, ticket, package and service bought from Prospecs ("Prospecs", "we", "us"), whether through this website, a partner platform, by invoice or in person. Prospecs is operated by [Registered company name, registration number and address]. By booking, you accept these Terms, the Refund & Credit Policy, the Participation Waiver, the Code of Conduct and the Privacy Policy.

1. Eligibility & accounts

You must be 18 or older to make a booking. Participants under 18 must be registered by a parent or legal guardian, who accepts these Terms on the participant's behalf. You agree that all information you provide is accurate and complete, including the participant's age, level and medical information.

2. Registration & confirmation

• A place is reserved only once full payment is received and we send a booking confirmation with a reference number.
• Places are limited and allocated in order of completed payment.
• We may decline or cancel a registration where information is false, eligibility criteria are not met, or the participant has previously breached our Code of Conduct.
• Some events require a minimum level or age. Participants placed in the wrong group may be moved to the correct one.

3. Prices & payment

Prices are shown in the currency displayed at checkout and include applicable taxes unless stated otherwise. Payment processing fees, travel, accommodation and third-party services may be charged separately and are listed before you pay. Card payments are handled by our payment provider; we do not store full card details.

4. Refunds & Event Credit

Prospecs does not offer cash refunds under any circumstances. Any eligible cancellation is compensated with Prospecs Event Credit only, as set out in the Refund & Credit Policy, which forms part of these Terms.

5. Changes to events

We may need to change dates, times, venues, formats, schedules, coaches or guest athletes. Appearances by named coaches or players are subject to their availability and are not guaranteed; we replace them with coaches or athletes of comparable standard. If we postpone or cancel an event, you are compensated as described in the Refund & Credit Policy.

6. Health, fitness & medical information

You confirm that the participant is fit to take part and that you have disclosed any medical condition, allergy, injury or medication relevant to the activity. You authorise our staff and medical partners to arrange first aid and emergency treatment if needed, and you are responsible for any resulting medical costs not covered by insurance.

7. Conduct

Participants, parents and spectators must follow our Code of Conduct and the instructions of event staff. We may remove anyone who breaches it. Removal does not entitle anyone to a refund or Event Credit.

8. Risk & liability

Sport involves inherent risks, including injury. Participation is voluntary and at the participant's own risk, as set out in the Participation Waiver. To the fullest extent permitted by law, our total liability to you for any claim related to an event is limited to the amount you paid for that event. We are not liable for indirect or consequential losses, lost or damaged personal belongings, or travel and accommodation costs you arranged yourself. Nothing in these Terms limits liability that cannot be limited by law.

9. Insurance

We strongly recommend that every participant holds personal accident, medical and travel insurance covering sports activity and cancellation.

10. Travel packages & third parties

Where a package includes flights, hotels, transport or venue access supplied by third parties, those services are also subject to the supplier's own terms.

11. Photography & media

Events may be photographed and filmed. Our use of images is described in the Media Consent Policy, including how to opt out.

12. Intellectual property

The Prospecs name, logo, website content, training materials and event formats belong to Prospecs or its licensors. You may not copy, resell or reuse them without our written permission. Tickets and registrations may not be resold for profit.

13. Events outside our control

We are not responsible for failure or delay caused by events beyond our reasonable control, including extreme weather, natural disasters, epidemics, government action, civil unrest, strikes, venue closure or travel disruption. In those cases the Refund & Credit Policy applies.

14. Governing law

These Terms are governed by the laws of [governing jurisdiction], and any dispute is subject to the exclusive jurisdiction of the courts of [city / country].

15. Changes to these Terms

We may update these Terms from time to time. The version in force when you book applies to that booking.

1. No cash refunds

All payments made to Prospecs are final. Payments are never refunded in cash, by card reversal, by bank transfer or by any other monetary means, under any circumstances. This applies without exception, including where:

• you or the participant cancel, change plans or do not attend;
• the participant is ill, injured or unable to take part for any reason;
• travel is disrupted, delayed or cancelled;
• weather, force majeure, government action or any event outside our control affects the event;
• the event is postponed, rescheduled, relocated, shortened or cancelled by Prospecs;
• a coach, player or guest athlete is changed or does not appear;
• the participant is removed for breaching the Code of Conduct.

There is no discretionary exception, appeal or case-by-case review that results in a cash refund.

2. When Event Credit is issued

If an event is postponed, your registration moves to the new date automatically and no action is needed.

3. How Event Credit works

• Value. Credit is calculated on the event fee paid. Payment processing fees, third-party travel and accommodation, and merchandise already supplied are not included.
• Issue. Credit is issued to the person who made the booking, within 7 business days, as a unique credit code (format PSC-XXXX-XXXX).
• Use it anywhere. Credit can be applied to any Prospecs event, in any sport, in any city or country.
• Use it for anyone. The credit holder can apply credit to registrations for themselves or for other participants such as family members, teammates or colleagues, provided the holder makes the booking.
• Split it. Credit can be used across several bookings. If a new booking costs more than your credit, you pay the difference. If it costs less, the remaining balance stays on your credit code.
• Validity. Credit is valid for 24 months from the date of issue. Unused credit expires after that date.
• Currency. Where a new event is priced in a different currency, credit is converted at our exchange rate on the day of booking.
• No cash value. Event Credit has no cash value. It cannot be exchanged, withdrawn, cashed out, refunded, sold or traded.

4. Transferring your place

Instead of cancelling, you can transfer your registration to another eligible participant free of charge up to 48 hours before the event starts. Email us your booking reference and the new participant's details. The new participant must meet the event's age and level requirements and accept our Terms and Waiver.

5. Corporate & group bookings

Corporate, school and group contracts may set their own cancellation schedule in a signed agreement. The no-cash-refund principle applies to all such bookings; any compensation is provided as Event Credit or as a change of date.

6. Payment disputes

By booking, you agree that cancellations are handled exclusively under this policy. If a payment is disputed with a card issuer, we will provide the issuer with this policy and your record of accepting it at checkout. Any amount reversed through a dispute will not also be issued as Event Credit, and we may decline future bookings from the account involved.

7. How to request Event Credit

Email hello@pro-specs.app with your booking reference, the participant's name and the reason for cancellation. The date we receive your email is the date used to calculate your credit.

This policy explains how Prospecs collects, uses, shares and protects personal data when you visit our website, book an event, attend an event or work with us. The data controller is [Registered company name and address].

1. Data we collect

• Contact and booking details: name, email, phone, address, booking history and Event Credit balance.
• Participant details: date of birth, age group, playing level, kit size, emergency contacts and parent or guardian details for minors.
• Health information: medical conditions, allergies, injuries and medication you choose to disclose so we can keep participants safe.
• Payment information: processed by our payment provider; we receive confirmation and the last four digits only.
• Images: photos and video taken at events, as described in the Media Consent Policy.
• Website data: device, browser, pages visited and cookie data, as described in the Cookie Policy.
• Professional details: for coaches, staff and partners, experience, licences and background-check results.

2. How we use it

• To process bookings, issue confirmations and manage Event Credit.
• To run events safely, including group allocation, supervision and medical care.
• To communicate about your booking, schedule changes and safety information.
• To send news and offers, only where you have opted in. You can unsubscribe at any time.
• To improve our events and website.
• To meet legal, insurance, safeguarding and accounting obligations.

3. Legal bases

We process data to perform our contract with you, to comply with legal obligations, for our legitimate interests in running safe and effective events, and with your consent where required (for example marketing, cookies and health data).

4. Children's data

We collect data about participants under 18 only from a parent or guardian, who gives consent on the child's behalf. We collect only what we need to run the event safely and never use children's data for marketing.

5. Who we share data with

We share data only as needed with: coaches and event staff; venues; medical and first-aid partners; insurers; payment processors; travel and accommodation suppliers for packages; IT and email service providers; and authorities where the law requires it. We do not sell personal data.

6. International transfers

Because we run events in several countries, data may be transferred outside your country of residence. When it is, we use appropriate safeguards such as contractual protections with our suppliers.

7. Retention

We keep booking and financial records for as long as tax and accounting law requires. Health information is deleted within 12 months after the event unless an incident requires us to keep it. Marketing data is kept until you unsubscribe.

8. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict or object to the processing of your data, to data portability, and to withdraw consent. To exercise these rights, email privacy@pro-specs.app. You may also complain to your local data protection authority.

9. Security

We use access controls, encryption in transit and trusted suppliers to protect your data. No system is completely secure, and we will notify you and the relevant authorities of any breach where the law requires.

10. Changes

We will post any updates to this policy on this page with a new "last updated" date.

Cookies are small files stored on your device when you visit a website. We use them to make our site work and, with your permission, to understand how it is used.

Managing cookies

You can accept or reject non-essential cookies when you first visit and change your choice at any time by contacting us or clearing cookies for this site. You can also block or delete cookies in your browser settings, though some parts of the site may stop working.

This code applies to everyone at a Prospecs event: participants, parents and guardians, spectators, coaches, staff, volunteers and partners.

Everyone will

• Treat every person with respect, regardless of age, gender, race, religion, nationality, ability or background.
• Follow the instructions of coaches, officials and event staff.
• Play fair, accept officials' decisions and respect opponents.
• Look after venues, equipment and the environment.
• Report any safety or safeguarding concern straight away.

Zero tolerance

• Violence, threats, bullying or harassment of any kind.
• Discriminatory language or behaviour.
• Use or possession of illegal drugs or performance-enhancing substances.
• Alcohol or smoking in participant areas, and any alcohol for under-18s.
• Unauthorised photography of other people's children.

Parents & spectators

Encourage positively, stay in spectator areas and leave the coaching to the coaches.

Consequences

Breaches may lead to a warning, removal from the session or the event, or a ban from future events. Serious incidents are reported to the authorities. Removal does not entitle anyone to a refund or Event Credit.

Every participant (or a parent or guardian for participants under 18) accepts this waiver at registration.

1. Assumption of risk

I understand that sport and physical activity involve risks, including falls, collisions, strains, fractures, heat-related illness and, in rare cases, serious injury. I voluntarily accept these risks for myself or for the participant I am registering.

2. Health declaration

I confirm that the participant is in good health, fit to take part, and that I have disclosed all relevant medical conditions, allergies, injuries and medication. I will inform Prospecs of any change before the event.

3. Emergency treatment

I authorise Prospecs staff and medical partners to give first aid and to arrange emergency medical treatment if I or the participant cannot be reached. I accept responsibility for any related costs not covered by insurance.

4. Release

To the fullest extent permitted by law, I release Prospecs, its staff, coaches, partners and venues from claims arising from ordinary participation in the event, except where caused by their negligence or wilful misconduct.

5. Rules and instructions

I agree that the participant will follow the Code of Conduct, safety rules and instructions of event staff.

6. Parent or guardian

If I register a participant under 18, I confirm that I am their parent or legal guardian and that I accept this waiver on their behalf.

Our commitment

Every child and vulnerable adult has the right to take part in sport safely. The welfare of participants comes before results, schedules or commercial interests.

What we do

• Background checks for all staff, coaches and volunteers who work with minors, appropriate to each country.
• Safeguarding training before anyone works at a youth event.
• Supervision ratios set by age group and activity.
• No staff member is alone with a child out of sight of other adults.
• Designated safeguarding lead at every youth event.
• Private messaging between staff and minors is not allowed; communication goes through parents or guardians.
• Changing, accommodation and transport arrangements that protect privacy and safety.
• Photography of minors only with parent or guardian consent.

Reporting a concern

Anyone can raise a concern with any staff member or directly with our safeguarding lead, [Name, Designated Safeguarding Lead]. Every concern is recorded, taken seriously and, where required, referred to the relevant authorities. People who report concerns in good faith are protected.

Review

We review this policy every year and after any serious incident.

We photograph and film many of our events to share them with participants, partners and the public.

How we use images

• Our website, social media and newsletters.
• Event recaps shared with participants.
• Partner and sponsor reports.
• Promotional material for future events.

Your choice

At registration you can opt in or out of media use. Participants who opt out receive a coloured wristband or bib so our media team can avoid featuring them. You can withdraw consent at any time by emailing hello@pro-specs.app; we will stop new use, though printed material already distributed cannot be recalled.

Children

We only feature under-18s with parent or guardian consent, never publish a child's full name alongside their image, and never share location details that could identify where a child lives or studies.

Our events

We aim to make every event accessible. Tell us about access needs when you register, and we will work with you on venue access, adapted activities, support staff, quiet spaces and communication formats. Our Adaptive & Inclusive programs are designed with specialist partners.

Our website

We aim to meet the Web Content Accessibility Guidelines (WCAG) 2.1 at level AA. The site supports keyboard navigation, screen readers, reduced motion settings, and light and dark display modes.
